Customer Support and Sales Assistant

Purpose of the Role

We are seeking a proactive, efficient and customer-focused Customer Support and Sales Assistant to join our dynamic team. This role combines customer service excellence with sales support to ensure a seamless client experience. The ideal candidate will serve as the first point of contact for clients, provide product and service information, address in-bound enquiries, and support the sales team in achieving sales objectives.

Measures of Success

  • Lead generation; building a high-quality pipeline of business and dealing efficiently with in-bound enquiries.
  • Dealing quickly and effectively with customer queries or concerns.
  • Efficient management of schedules, meetings, communications, and tasks.
  • Accurate and well-maintained documentation, records, and invoicing.
  • Positive feedback from team members and management regarding support and efficiency.

Main Responsibilities:

  • 1. Sales Support· Research and call leads to generate interest and answer questions about our products and services.· Schedule consultations and business development meetings for the directors and consultants.· Assist the sales team by preparing quotes, proposals, and presentations for prospective clients.

    · Conduct basic research on prospective clients and industries to support tailored sales approaches.

    · Upsell and cross-sell products and services where appropriate.

    · Manage and update the client database and CRM tools.

    · Collaborate with marketing to ensure promotional materials and campaigns align with sales efforts.

    2. Operational & Customer Support

    · Provide customer and system support for general and technical queries/troubleshooting, ensuring quick response times and positive feedback.

    · Assist with managing assessment processes for our clients.

    · Maintain and improve processes and systems to enhance efficiency.

    · Prepare weekly and monthly reports on client projects, support queries, and engagement.

    · Share ideas and provide input to improve client support and project management processes and systems.

    3. General Administrative Support

    · Manage scheduling, internal meetings (including minutes/actions), and handle communications and travel arrangements (when necessary).

    · Provide general administrative support and maintain process documentation, reports, and records.

    · Create and manage invoices using Xero (invoicing software), ensuring timely payments from clients.

Person Specification and Requirements:

  • · A relevant business, psychology or customer service qualification· At least a year’s experience in customer service, sales support, or administrative roles, preferably in the consulting, education, or coaching industry.· Highly organized, efficient and adaptable.· Basic understanding of sales principles with a willingness to learn and apply new techniques.

    · Strong attention to detail, ensuring accuracy in all administrative tasks.

    · Excellent communication skills, both written and verbal.

    · A confident and professional approach to customer support and internal communications.

    · Proficiency in Microsoft Office Suite, and other office management tools.

    · A dedicated and hardworking team player who can also work independently with minimal supervision, consistently meeting deadlines and expectations.

    · A proactive learner, eager to grow and develop new skills on the job, with a commitment to continuous improvement.
